A resignation letter with reason refers to the type of letter that indicates you are not happy with your job or there were certain situations in your workplace that made you decide to resign.

For instance, it could be due to a supervisor/boss or a superior that you did not have empathy or good communication or simply because you expected more from the job.

In addition, this letter could refer to personal reasons such as being ill or having a relative that is ill.

Also, it could be related to being dissatisfied with how things are being run at your workplace or certain changes they have made to your salary, bonus structure, among others.

Sample 1 resignation letter with reason

“Sub: Resignation

Dear Mr./Mrs. {Recipient’s Name},

I am writing this letter to resign from my position of {Your Position}. I sincerely regret the fact that I have to leave {Your Company}. However, due to the recent changes made in the company pertaining to {Write a change here, for example the introduction of a policy which outlines the deduction of 5% from an employee’s salary due to late coming}. Hence, I believe it is in my best interest to do so.

While I appreciate this initiative, which will surely ensure punctuality in the workplace, it would have been better had the total working hours and productivity of each employee being taken into account first. I always stayed back beyond my office hours, in order to ensure that my tasks for the day were complete. As a result, almost daily I clocked more than 8:30 hours.

For me functioning under this new policy has become difficult and hence I believe it is better for me to leave. I will miss being associated with {Your Company}. Working for {Your Company}, under {your manager/boss’s name} guidance has enlightened me in every aspect and has also given me the insights and hands on experience on how business in this industry operates. Sample 2 resignation letter with reason

If you do not want or do not feel comfortable being specific as the previous example is, you can explain you are resigning due to “personal issues” such as in the following example:

“Sub: Resignation

Dear Mr./Mrs. {Recipient’s Name},

I regretfully inform you that I will be resigning from the position of {Your position} from {Your Company}. Although working with {Your Company} has been a pleasure, due to certain unavoidable personal reasons my presence is required elsewhere. I apologize for this decision to be abrupt and do hope that my leaving will not cause you or {Your Company} any inconvenience.

I have enjoyed being part of {Your Company} and my tenure has been very rewarding. I appreciate the experiences and opportunities that I have embarked upon here. Thank you for allowing me to execute the complete digital marketing strategy for APAC region. It helped me realize my creative abilities and also instilled immense confidence in me, as far as execution of projects is concerned. The staff and colleagues here have been very helpful and I will miss them all. Had they not assisted me, I wouldn’t have been able to achieve my KPI targets and our company would not have been able to accomplish the digital marketing goals in the APAC region.

In this example, we have a situation where this person has been offered a new position. If it is your case you can decide whether you chose to reveal you already have a new position as the reason why you are resigning or simply use the term “personal reasons” without being too specific as in other examples.

If you had a negative experience, it is not recommended being rude or disrespectful when explaining the reasons why you are resigning. In this case, we have an example of someone that had some personal issues within the company but that would not prevent him/her to thank the company, despite the circumstances.
