A sample resignation letter in Malaysia is very helpful if you have already discussed with your employer your decision to leave and you are ready to take the next step by submitting a formal resignation.

It could be that you have family reasons or matters to attend to or an emergency, it could be also that you want to go a step further in your education, a new job opportunity, or many other reasons that made you decide to leave your job.

Writing a resignation letter for the first time or after being working for your employer for a while can become quite scary but it doesn’t have to become a negative experience.

You could be a manager, secretary, computer attendant, security guard, or have any other job role, still, it is important to take the time to write a good resignation letter.

According to the Malaysian Government, “If an employee wishes to quit his / her job, the employee should refer to the notice of termination clause written in the contract of service that has been signed with the employer. If there is no service contract, the employee may refer to the Employment Act 1955 or seek advice at the nearest branch of the Department of Labour.”

Tips to write your resignation letter

Writing a formal resignation letter should take just a few minutes but it is important to consider including the following:

  • Clearly state your intention to leave, include your notice period and the last day of employment. For some employers, it can be a 2-month notice, one month/30 days, or the standard two weeks/15-day notice.
  • Thank your employer for the opportunity and how they have helped to develop your skill sets. 
  • You can consider reflecting on both your personal and career growth by showing appreciation for the company (optional).
  • Keep a professional, polite, and positive tone. In addition, there is no need to go into detail as of why you are resigning so keep it short and brief.
  • Refrain from making any negative comments or criticism about the company, your boss or, colleagues.
  • Offer assistance in the transition period, for instance, helping the trainee to learn the job duties and responsibilities.
  • Use a polite outro and sign your letter.

Before you submit your resignation letter make sure you check your employment contract searching for your company’s termination policy and the contractual terms.
