In this guide, we will see some sample resignation letters and the standard format and what to include in your resignation letter if you decide to write your own.

Sample resignation letter format

A sample resignation letter format example can be found (most of the time) in a pdf or doc file you can download and modify at your convenience.

You can find examples of all kinds and with many of the reasons you can think of, for instance, sample letters due to emergency situations, a new job opportunity, pregnancy, personal reasons, or due to having a health issue.

Most keep the same format but the content is the one that varies, the best thing is you can adapt it, adding your personal touch.

Consider having a conversation with your boss or manager about resigning your job before submitting your resignation letter.

In addition, consider your employer’s notice period since for some it can vary (i.e. one month notice).

However, the standard would be 2 weeks’ notice for most employers, check your employment contract to find more information or check with your HR department.

Here are some tips on what to include in your letter if you decide to write your own:

  • In the first paragraph make sure you identify yourself, your name, and the name of the company. In addition, you can state the reason why you are leaving if you don’t want to disclose it and you are not obliged.
  • The second paragraph could reflect or highlight the positive aspects of the job, or the time you have been working for your employer.
  • The third paragraph can include your offer of assistance in the transition period, for instance training your replacement.
  • The fourth paragraph (optional) can include the tasks or projects you have been working on that you’ll be surrendering.
  • The fifth paragraph (optional) can include your updated contact information in case they need to contact you and you can use a warm closing to end your letter.
