Samples of resignation letters templates can be found all over the internet in pdf or word versions that you can download and print after making some adjustments or modifications to fit your needs.

If you have decided to quit your job because you are unhappy, you found a new job, you want to take care of a health issue, or any other reason,  then it is important to write a formal resignation letter addressed to the recipient of your letter which could be your boss or HR manage. 

A resignation letter should be kept brief and in a professional tone.

You can include a reason why you are resigning but itis actually optional, so you can choose to disclose or not the reason(s) why you are leaving.

Typically a resignation letter includes the following basic information (indded.com):

  • Statement of resignation from the company
  • Date of last day of work considering the notice period (i.e. 3-month notice) or it could be that you need to write an immediate effect resignation letter.
  • Statement of gratitude
  • Next steps or important information
  • Signature

A similar format can be found on monster.com:

  • a statement of intent that you will be leaving your job
  • the name of your official staff position
  • the date of your last day on the job
  • gratitude to your employer for hiring you
  • a highlight of your time there (optional)
  • an offer to train your replacement
  • well wishes for the future of the company
  • your contact info
